Tips for scheduling global meetings
Make remote collaboration easier with these best practices.
Rotate meeting times fairly
If there is no perfect overlap, rotate early and late slots so no single team always bears the inconvenience of off-hours calls.
Send calendar invites in UTC
When sharing meeting times by email, include the UTC equivalent alongside local times. This prevents confusion when participants' systems auto-convert.
Watch out for DST transitions
Daylight Saving Time changes on different dates in the US, EU, and Australia. A recurring meeting may shift by an hour without warning — always verify with the planner.
Use asynchronous alternatives
When overlap is impossible, consider async video updates or shared documents. Reserve live meetings for decisions that genuinely require real-time discussion.
Check public holidays
A slot that looks perfect on the time grid may fall on a local public holiday. Always cross-check with a holiday calendar for each participant's country.
Book buffer time
Participants joining from personal time zones outside standard hours need mental transition time. Add 15-minute buffers before and after cross-timezone calls.
